Creating Production Requisitions Based on the Menu - Sites Making Requisitions

Production Requisitions functionality in the JAMIX Kitchen Intelligence System enables the sites to make requisitions to the production kitchen based on the menu, and to add recipes that will be prepared at the site to its own production sheet. The system will automatically compile all production requisitions by recipe on the Production Sheet of the production kitchen. The site making requisitions will see the requisitions made to the production kitchen in the Production Requisitions function. The recipes that the site will prepare by itself, will be displayed on the site's own Production Sheet. The recipes can be printed from the production sheet, according to ordered quantities, for production. Production Requisitions functionality is ideal when orders are made based on the amount of diners on the menu.

NOTE! Before the site can make requisitions to the production kitchen, the administrator of the JAMIX Kitchen Intelligence System (User Level Administrator) will have to make the program settings needed, for example define production kitchens for the recipes that will be requested from them. (See manual PRODUCTION REQUISITIONS: Settings)

 

Creating a Production Requisition on the Menu

  • Choose FOOD – Menus on the menu bar on the left.
  • Select the menu on which you want to create a production requisition to the production kitchen.
  • Choose Production Preview on the top of the window.
  • Select the time period on which you want to create the requisition.

The system will display the recipes on the selected time period on the list.

NOTE! If a rotation cycle has been defined for the menu on the Duration tab on the right side of the window, you can filter the recipes in the Production Preview window only within the cycle that has been set.

The following information will be displayed on the recipe row:

  • Date and meal option
  • Production kitchen, if it has been defined for the recipe by the administrator. If a kitchen has not been defined, the recipe will be added to the production sheet of the user’s kitchen which is defined in the user profile.
  • Amount of portions to be requested. The system will automatically suggest the amount of diners on the menu as the portion quantity. If needed, you can change the portion quantity by double-clicking on the row on the Portions column. Enter the new quantity and choose Save.
  • Pan, in case it has been saved for the recipe by the administrator.
  • Amount of diners on the menu and the total weight.
  • Status. Is the recipe being requested for the first time from this menu, or has it already been requested. A new order will create a new order row on the production sheet for the same recipe.
  • Portion size as saved on the menu.

If any of the above mentioned columns is not displayed, you can select them to be displayed through the button with three lines in the upper right corner.

Select the recipes by ticking the box in the beginning of the recipe row. You can select all recipes on the menu at once by ticking the box in the beginning of the headline row in the upper left corner.

Create the requisition by choosing Add to Production on the top of the window. If the administrator has defined the production kitchen for the recipe, the requisition will be added automatically to the production kitchen in question. Other recipes will be added to the production sheet of the site making the requisition. Recipes ordered from the menu will be displayed in the Production Sheets and the Production Requisitions functions on the dates when the recipes are on the menu.

 

Browsing Requisitions Made To The Production Kitchen

You can browse requisitions you have made to the production kitchen in the Production Requisitions function.

  • Choose FOOD – Production Requisitions on the menu bar on the left.
  • Select the time period on which you want to browse the requisitions. 
  • You can search recipes by name and filter requisitions by production kitchen, by order number and by menu.

All columns on the list can be displayed through the button with three lines on the upper right corner.

You can print the list on recipes requested into Excel sheet by choosing Excel on the top of the window.

 

Browsing and Processing the Recipes on the Production Sheet

Requisitions on recipes, which do not have a defined production kitchen, will be added to the site’s own production sheet in the FOOD – Production Sheets function, to the days when the recipes are on the menu. These recipes will be prepared by the site itself. In addition to the recipes added through the menu, you can add recipes to the production sheet manually, as well.

 

Editing Recipe Rows On The Production Sheet

On the top of the Production Sheet window, select the date for requisitions to be edited. The system will display the production sheet rows by recipes for the date selected. A production requisition will automatically create several rows for a recipe. The top row includes the total quantity of the food to be prepared and each production requisition will be displayed as a separate recipe row under the sum row.

  • Open the recipe row by double-clicking on it.
  • You can change the portion size and the amount of portions, and change the pan.
  • Accept the changes by choosing close or move on to the next row by choosing previous/next on the bottom of the pop-up window. The sum row will be automatically updated according to the modified information.

NOTE! You can make modifications only to the information on the recipe rows. The information on the sum row cannot be modified.

 

Adding Recipes Manually To The Production Sheet

You can add recipes into the production sheet from the recipe list on the right side of the window. You can search recipes by name and filter them by main group and target group.

  • Add the recipe into the production sheet by double-clicking on it.
  • Open the recipe row on the production sheet and enter the portion size and amount of portions, and choose the pan.

NOTE! You can make modifications only to the information on the recipe rows. The information cannot be modified on the sum row.

 

Deleting a Row from the Production Sheet

Select the row to be deleted with the right mouse button and choose Delete from the drop-down menu. If you select a recipe row, the system will delete only the row in question. If you select the sum row for the recipes, the system will delete all rows included to the sum row in question.

 

Browsing Recipes with the View Function

You can browse information on recipes to be prepared with the View function. It will display all the relevant information needed for production. The system will automatically calculate the total amount of portions from all recipe rows, as well as the average portion size.

Open the recipe into the View function by selecting the sum row for the recipe on the production sheet and then choosing View on the top of the window.

  • With the Unit of Measurement button you can browse the amounts of ingredients with different units of measurement.
  • The Products button will display the purchasing names for ingredients, in case the ingredient is linked to a stock card.
  • The Steps button will display the instructions step by step, in case they have been registered on the recipe.
  • Nutritive values for the recipe will be displayed when you click on the arrow button next to the Nutritive values / 100 g headline.
  • You can move on to the next recipe by choosing Next on the top of the window.
  • You can close the View window by choosing Close on the upper right corner of the window.

 

Printing

You can print information on recipes on paper, into an Excel sheet or you can print a shopping list on the recipes.

 

Printing Recipes

  • Choose Print – Recipes on the top of the window.
  • Select the appropriate print settings:
    • Select the Print Orientation on the General tab.
    • Select the information you wish to have on the printout from the left side options on the Additional Settings tab.
    • Select the font size from the settings on the right.
    • You can remove columns from the printout by choosing Hide when the column is selected on the list. You can bring the column back by choosing Show when the column is selected on the list.
    • You can also change the order of the columns on the printout with Up and Down buttons under the Columns list. First select the column you wish to move and then click on the Up or Down button until the column is on the right place.
  • Once the settings have been selected, click on the Print button.
     
The recipe to be printed will be displayed in a new tab in your browser for print preview. In case some other application has been set as default for opening PDF files, the print preview will be displayed in that application.

Note that popup windows from the system's web address need to be allowed in the browser you are using, for the system to be able to open the print preview tab.

Print the recipe on paper by choosing the Print function on your browser’s settings or the Print function in the default application. Choose the printer and modify the settings, if needed.

 

Printing into an Excel Sheet

Choose Print – Excel. The system will print the recipe information of the selected date for all recipes on the production sheet.

 

Printing a Shopping List

Choose Print – Shopping List.

Select how the information will be grouped on the printout and then choose Print Shopping List.

 

Saving the Production Sheet

Save the production sheet by choosing Save on the top of the window.

 

Deleting a Production Sheet

You can delete the entire Production Sheet by choosing Delete on the top of the window.
