Supplier-Specific Delivery Days And Their Effect When Creating Orders

You can set supplier or stock card specific order and delivery days for products, and the system will utilize them in different functions when making orders.

Supplier Specific Order And Delivery Days

You can set order and delivery days for suppliers in the Delivery Days tab in the supplier’s basic data. Delivery day defines the days, when the supplier delivers orders and order day defines the day by which the order needs to be made so that it will be delivered on the desired day. You can set a validity period for the settings. If you don’t set any validity period for the settings, they will be valid for the time being. You can set these types of delivery days for all stores at once, as well as store-specifically.

 

Stock Card Specific Exceptional Order And Delivery Day

In addition to supplier specific order and delivery days you can set Exceptional order or delivery days for single items store specifically in the General tab of the Stock Card.

You can utilize the Exceptional order and delivery day functionality, when some items need to be ordered or delivered differing from the supplier’s standard order-delivery days. For example, you can define in the Exceptional order day field that the beef items of a certain supplier need to be ordered a few days earlier than other items from the same supplier. Similarly, you can define in the Exceptional delivery day field of frozen food items, that the item needs to be delivered a few days earlier than other items from the same supplier, so that you will have time to defrost it.

 

Exceptional order day

If order days have been set for the supplier in the basic data, and the item needs to be ordered earlier than other items from the same supplier, you should add into the 'Exceptional order day' field as number, how many days earlier the order needs to be made.

 

Exceptional delivery day

Similarly, if order and delivery days have been set for the supplier in the basic data, and the item needs to be delivered earlier than other items from the same supplier, you should add into the 'Exceptional delivery day' field as number, how many days earlier the order needs to be delivered.

 

How Order And Delivery Days Work In The System

Setting the delivery days in supplier’s basic data or the exceptional order and delivery days in stock card will not prevent you from creating a late order, or an order with a wrong delivery day. However, the system will provide a notification when the order deadline has been exceeded or when the delivery day selected for the order has not been set as the supplier’s standard delivery day.

In the Internal Orders function the delivery days set in supplier’s basic data will prevent you from ordering items if the order deadline has been exceeded, or the delivery day has not been set as a standard delivery day. These types of items will not be shown in the Stock Cards tab of Inventory Transfer function and you will not be able to select them into a transfer.

The system will take the settings for order and delivery days into consideration in the Stock Events – Create Orders function as well as Print – Shopping List function in Menus and Production Sheets. In addition, the settings will have effect in the Orders function.

 

Print Shopping List function

When you print a Shopping list with "sumlevel day", the delivery days will be displayed according to the delivery days set in the supplier’s basic data. If no delivery days have been set for the supplier, the date for the menu or the production sheet will be displayed on the shopping list.
