You will be able to scale Planned Portions for an entire menu based on actual or estimated customer count. Based on the registered customer count the system will calculate and update Planned Portions to all menu rows at once. You can update Planned Portions based either on the estimated or actual customer count in the previous menu cycle, or on the estimated customer count that has been registered in the Master Cycle. The system will scale Planned Portions accordingly either up or down in menu rows for the selected day.
There are two ways to update the customer count:
- For one day: Double-click on a weekday row on the menu
- For one or several days: Through the Portions button on the top of the menu window
You can utilize this functionality, for example, when you have a buffet service and you know in advance that the customer count will be bigger or smaller than usual. It is easy to update planned portions to all menu rows accordingly.
Note:
- This feature is available only when you have activated Dynamic Menus feature in the system, and you are using Menu Cycles.
- This feature is not activated as default. The admin user can activate it: See instructions
- You can register estimated customer counts both to the Master Cycle and the actual Cycles. Realized values can be registered to actual Cycles only.
- Estimated and actual customer count are registered and updated kitchen-specifically. When entering values you will have to select a kitchen on the dynamic menu or you need to have a kitchen-specific user profile.
Before Starting To Use This Functionality
Add Customer Count column into the Menu window:
- Open a dynamic menu
- If you have user rights to several kitchens, select a kitchen in the General tab
- Take your mouse into the upper right corner of the menu to bring out the settings icon
- Open the list of columns by clicking on the settings icon and select Customer Count. Once you have added the column you can move it to the desired place by dragging.
Updating Customer Count And Planned Portions Through a Weekday Row
1. Open the dynamic menu to which you want to add the customer count. If you have user rights to several kitchens, select a kitchen in the General tab.
2. Choose if you want to update values to the Master Cycle or the Current Cycle
Master Cycle Window
You will be able to register Estimated Customer Count into the Master Cycle.
Register estimated customer count, if you want to utilize it in actual cycles in the Current Cycle window for scaling planned portions.
Typically you register an average estimate of customer count into the Master Cycle.
Current Cycle Window
You will be able to register both estimated and actual customer count into the actual cycle, and update planned portions to the menu rows for a day.
Register actual customer count if you want to utilize it for scaling planned portions for the next cycle. Actual customer count will be shown for the corresponding weekday in the next cycle in the Previous Cycle column. If you register only estimated customer count, it will be shown in the Previous Cycle column.
3. Select the All window
4. Double-click on a weekday row to open it for editing
5. Double-click on a date row and enter values. Close the edit window by choosing Ok.
6. Record or Apply Customer Count
Current Cycle Window
- Under the title "Scale using customer count from": Choose if you want to use the Master Cycle or the Previous Cycle for scaling planned portions
- Then choose Apply Customer Count. Depending on your selection for scaling, the system will update the planned portions for the day in relation of:
- Estimated Customer Count and the Master Cycle Customer Count, or
- Estimated Customer Count and the Previous Cycle Customer Count. If you have registered both estimated and actual customer count in the previous cycle, the actual customer count will be used for scaling.
- Record Customer Count button will set the values to the row and you will be able to utilize them in the following cycles, but it does not update planned portions to the menu rows of the day.
Example:
You have selected to "scale using customer count from" the Previous Cycle.
Planned Portions on the menu rows is 150.
Customer Count for the previous cycle is 200.
You register 400 as the Estimated Customer Count for the day.
-> The relation for scaling is 400/200 = 200 %
-> The system will scale Planned Portions (150) with 200 % which makes 300 portions.
Master Cycle Window
Choose Record Customer Count. Estimated Customer Count value will be set to the row and you will be able to utilize it in actual cycles.
Updating Customer Count And Planned Portions Through the Portions Button
1. Open the dynamic menu to which you want to add the customer count. If you have user rights to several kitchens, select a kitchen in the General tab.
2. Choose if you want to update values to the Master Cycle or to the Current Cycle.
3. Choose Portions on the top of the window and go to the Customer Count tab.
Current Cycle Window
- Select a date or a date range to which you want to register values. You will be able to select only dates included in the cycle in question. If you want to manage dates related to some other cycle, you will have to return to the menu, select the correct cycle, and then go back to the Portions function.
- You will be able to register both estimated and actual customer count into the actual cycle, and update planned portions to the menu rows for the selected days.
- Register actual customer count if you want to utilize it for scaling planned portions for the next cycle. Actual customer count will be shown for the corresponding weekday in the next cycle in the Previous Cycle column. If you register only estimated customer count, it will be shown in the Previous Cycle column.
Master Cycle Window
You will be able to register Estimated Customer Count into the Master Cycle.
Register estimated customer count, if you want to utilize it in actual cycles in the Current Cycle window for scaling planned portions.

Choose Record Selected Customer Counts. Estimated Customer Count value will be set to the row and you will be able to utilize it in actual cycles.
