Registering Withdrawals From The Inventory/Stock

You can register items/products withdrawn from the inventory by storage location and cost center. Withdrawals registered will update the Inventory Balance accordingly. Inventory Balance is displayed on the Stock Card.

• Choose STOCK - Withdrawals.
• Choose Add on the top of the Withdrawals window.
• Then select the Store for which the withdrawal will be registered to.
• Select date and receiving cost center for the withdrawal. You can add a new cost center through the plus (+) button or you can edit the existing cost center through the edit button. Basic data for cost centers is managed in the BASIC DATA – Cost Centers function.
• You can also add Reference information to the withdrawal.

You can add items/products withdrawn from the inventory to the Withdrawal from the Stock Cards list.

• You can utilize the search function for searching stock cards. Enter the name of the stock card to be searched for and the system will provide you with a list of all stock cards including that name.
• You can also filter the Stock Cards list. First choose the category in the Filter field by which you want to filter the data. Then enter the information within that category on the field on the right. You can also choose the information from the drop down menu. The filter chosen will be displayed under the Filter field and it will be valid until it is deleted. You can filter the Stock Cards list by several filters at the same time by repeating the steps instructed earlier.
• You can monitor additional information for the chosen stock card by choosing Show on the Additional info line Under the Stock Cards list.
• Add item/product to the withdrawal either by double clicking on the Stock Card or by dragging it onto the withdrawals window.
• Once you have chosen all the items/products to the withdrawal window you need to enter information on quantity to each item/product.
  • Open an item/product on the withdrawals window by double clicking on it and enter the quantity in the window that opens up.
  • You can also choose the unit of measure for the item/product withdrawn.
  • The system automatically displays the Unit Price according to the unit of measure chosen and calculates the Total Price both excluding and including tax.
  • Inventory balance for the item/product is displayed in the Balance field.
• If needed, you can change another item/product into the Product field. You can also add a totally new item/product through the plus (+) button or edit the existing one through the edit button. Move on to the next item/product through Previous or Next buttons on the bottom of the window.
• Once you have entered quantities to all items/products, return to the Withdrawals window by choosing Close.

You can remove items/products from the withdrawal by choosing the item/product on the list, then clicking on it with the right mouse button and choosing Delete from the drop down menu. You can also remove the item by opening it and then choosing Remove on the bottom of the window.

In the General tab you can add additional information on the withdrawal and mark the withdrawal as Checked.

Save the Withdrawal entry by choosing Save on the top of the window.

You can reduce inventory balance for ingredients of food to be prepared on a selected time period directly from the menu or the production sheet. In other words, make a withdrawal for the stock cards linked to the ingredients.

• You can create the withdrawal through the Stock Events – Create a Withdrawal button which you can find on the top of the window in the Menus or the Production Sheet functions.
• You need to select the Cost Center, Store, Time Period, Date of Withdrawal and Meal Options which you want to be included in the withdrawal.
• The system will create a withdrawal into the STOCK – Withdrawals function where you can edit the withdrawal if needed. For example if the menu included a meal which was not served on the selected time period.

This functionality makes managing of inventory balance easier and quicker as you don’t have to make withdrawals manually in the Withdrawals function one item at a time, but you can create withdrawals for several items at once through the Menus or Production Sheets functions.
